# All About Lists

Organize your tasks into lists you can share, filter, and sort — the main way to group Action Cards in Actions.

Lists are the main organization tool in Actions, helping you categorize and group the [Action Cards](/support/actions/creating-action-cards/) to suit your needs.

You can share lists with others to collaborate on what needs doing.

## Creating a List

**To create a List:**

1. Tap the  icon at the bottom of the screen
2. Tap the + button
3. Type in the name of the List
4. Choose a color for the List

Once you have created multiple Lists, it's important to remember that the creation card is always to the **right** of the last List you created.

## Adding Action Cards to Lists

From any of Actions' main screens – Logbook, Schedule, or Lists – you have an easy way to add Action Cards to a particular List.

#### iOS

- In **Logbook** and **Schedule**, tap the  icon, type in a title, and tap "Choose List" below the Action Card. Select the relevant List and tap the  icon to save the Action Card.
- In **Lists**, open the appropriate List. Tap the blank Action Card – found at the bottom of the List – and type in the Action Card's title.

#### Web

- In **Logbook** and **Schedule**, Click the Action Card and click "Add to list" in the details pane.
- In **Lists**, open the appropriate List. Hover over the List and click the add button.

On iOS and Web, Action Cards can also be assigned to Lists by dragging them from Schedule to Lists.

**Note**: At this time, drag and drop functionality between Lists, Schedule, or Logbook is exclusive to the iOS and Web versions.

## Sharing Lists

You can share lists with other people who have Actions. If you use family sharing with your Apple ID, you can take advantage of our Family Bundle plan.

When a list is shared, an icon appears next to it's title on the List selector screen and collaborator initials will appear under the title on the list itself.

**To start sharing:**
To share a list, tap the **... Settings** button then tap **Invite Someone**. A unique link will be created that you can share with other people. Once the recipient taps the link they will join the list and their initials will be displayed under the list title.

**To stop sharing:**
You can prevent further people from joining a shared list by opening the **... Settings** screen then tapping **Close Invitations**.

**Removing collaborators**
To remove someone, open **...Settings** on the list and swipe on their name, then select **Remove**

**Notifications**
You can enable notifications on shared lists. Notifications are on by default but can be disabled on a per-list basis by opening the list then opening the List Options and toggling "Notify me about changes".

## Filtering and Sorting Lists

From the Lists screen you can tap the Sort and Filter button. When you choose one of the following options, the list is rearranged. It can still be manually reordered after this.

**Sort options:**

- By name
- By creation date
- By Action count
- By incomplete Action count
- By last used

**Filter options:**

- Show shared lists
- Show archived lists
- Enable focus filters (only shown if Focus mode is enabled and Focus Filters configured)

**Note - if you have Focus modes enabled, the filter and sort button will appear as the moon icon**

## Filtering and Sorting Actions on a List

When you open a list, you can tap the Sort and Filter button to do the following:

**Sort options:**

- By priority
- By creation date
- By name
- By schedule date

Sorting is applied as a one-time reordering of the Actions on the list each time you tap one of the sort options. This means you can manually reorder Actions too.

**Filter options:**

- Show repeating Actions
- Show scheduled Actions
- Show unscheduled Actions
- Show someday Actions
- Show hot Actions
- Show cold Actions

## Moving Action Cards from Lists to Schedule

By default, Action Cards created in the Lists panel are not given an assigned due date. As such, these tasks can be moved from Lists to Schedule while still retaining their categorization under the List. This is done by:

1. Tapping and holding on an Action Card until a shadow appears beneath the card
2. Dragging the card to the bottom of the screen
3. Tapping the  icon at the bottom of the screen with a separate finger
4. Dropping the Card on the relevant day

On iPad and Web, you can drag the task from List to Schedule without the need to tap on the Schedule icon.

## Moving Cards from List to List

Action Cards can also be moved from List to List following similar steps found in the above section. After you tap and hold on a Card and drag it to the bottom of the screen,  will appear; to move the Card, swipe to another List and remove your finger from the screen to drop it.

> On Web, you can simply click and drag a task from one List to another.

## Editing Lists

The Lists you create today may not be the Lists that stay tomorrow. For the instances when you need to make a change to a List, you have multiple options.

**To change the color of a List:**

1. Tap or click the appropriate List
2. Tap or click the  icon
3. Select your desired color

**To edit the title of a List:**

1. Tap or click the appropriate List
2. Tap or click the current title of your List
3. Type in the new name and tap or click anywhere on the screen to save

**To delete a List:**

#### iOS

1. Tap and hold on the appropriate List
2. Drag the card to the trash can icon and release

Alternatively, open the list then tap List Options > Delete.

#### Web

1. Hover over the List
2. Click the trash can icon

**Archiving a List**

Archiving removes the list and its Actions from your lists screen and schedule, but you can view it again by changing your list filter options. To archive a list, tap the List Options then tap the Archive button next to Delete.

**To rearrange your Lists (iOS only):**

1. Tap and hold on a List
2. When a shadow appears below the List, drag it to the desired spot in the order
